Terms and conditions

These terms apply to every tour booked with The Book Club Tour (“we”, “us”). By applying for a tour and paying a deposit you agree to them. Please read them with the tour page for your departure, which forms part of your booking.

1. Applying and being accepted

Applying for a tour does not create a booking and no payment is taken with an application. We review each application and may accept it, place it on a waitlist, ask for more information, or decline it. A booking exists only once we have accepted your application and received your deposit.

2. Deposit and payments

• A deposit of $500 per person is due within 7 days of acceptance. If it is not received by then, the seat may be released to the waitlist.
• The balance is payable according to the schedule shown in your portal. The full balance is due no later than 30 days before departure.
• Payments are made through the portal by card, Apple Pay, Google Pay, or bank debit (processed by Stripe), or by PayPal or Venmo (processed by PayPal). Prices are in US dollars.
• If a payment is late, we will remind you. If the balance remains unpaid after the due date, we may treat the booking as cancelled by you.

3. Cancellation by you and refunds

• The deposit is non-refundable.
• Payments beyond the deposit are non-refundable unless we can fill your seat from the waitlist, in which case we refund the amount you paid beyond the deposit, less any costs already committed that cannot be recovered.
• We therefore require every traveler to hold travel insurance that covers cancellation, medical care, and repatriation.

4. Cancellation or changes by us

• If we cancel a tour, you receive a full refund of everything you have paid to us. We are not responsible for flights, insurance, or other costs you incurred separately.
• Itineraries are planned well in advance; venues, hotels, and activities may change for reasons outside our control. We will provide an equivalent alternative where we can.

5. What is included

Each tour page lists what is included and not included. Unless stated otherwise, flights to and from the tour, travel insurance, alcohol, and personal spending are not included.

6. Fitness, health, and conduct

• Tours involve several miles of walking a day, uneven ground, and stairs. You confirm that you are able to take part.
• Tell us about dietary needs, allergies, and mobility considerations when you apply so we can plan for them.
• Our tours are small groups. We may ask a traveler whose conduct endangers or seriously disrupts the group to leave the tour, without refund.

7. Passports, visas, and insurance

You are responsible for holding a passport valid for at least six months beyond the tour, any visas you need, and travel insurance. We may ask for your passport details where a supplier requires them, as described in our privacy policy.

8. Community and photos

The tour community in the portal is private to that tour’s travelers, hosts, and guides. Be kind. We may remove content that is offensive or off-topic. Photos you upload remain yours; by uploading you allow other members of the tour to view and download them, and you may choose whether we can use a photo on the public site.

9. Liability

We arrange tours with independent hotels, transport companies, guides, and venues and are not liable for their acts or omissions beyond what the law requires. Nothing in these terms limits liability that cannot be limited by law.
